Tools you need

Notion for your project tracker where you mark work as complete. Stripe for generating invoices and processing payments. Make for the automation logic connecting everything. Gmail for sending the invoice and reminder emails.

Stripe charges 2.9% plus 30 cents per transaction. Everything else is free or nearly free.

The setup process

Start with the Notion project database. Each project has fields for client name, email, amount, status, and completion date. When you change the status to Complete, that triggers the automation.

The Make scenario watches for that status change, creates a Stripe invoice with the client details and amount, sends the payment link email, and starts a timer for the follow-up sequence.

The follow-up emails are pre-written templates that reference the specific invoice amount and project. They feel personal but are completely automated.
